FunctionOne website privacy policy
This policy explains what FunctionOne collects through its website forms and chat, how we use those details, who helps us process them and the choices you have. We do not sell your personal details or use them for advertising.
Who does this privacy policy cover?
This privacy policy covers the FunctionOne website, its forms and its chat. FunctionOne is Function One Systems, Inc., a managed IT and cybersecurity company with offices in Syracuse, New York and Tampa, Florida. In this policy, “FunctionOne”, “we”, “us” and “our” mean Function One Systems, Inc.
It does not cover the systems and data we manage for clients under a service agreement. That work follows the terms of the client's agreement with us.
This policy was last updated on October 19, 2026.
What personal details does the FunctionOne website collect?
You choose what to share in our forms. The security assessment form asks for your first name, last name, work email, company and company size, plus an optional phone number. The contact form asks for your first name, last name, work email, company and a message, plus an optional phone number. The free guide form asks for your first name and work email.
The chat asks for your first name and work email. It keeps the messages you write and the page you were on when you started. If you tap a common question before you give your name, we save that question too.
When you send a form, our form software also records your IP address, your browser type and the page you sent it from. Our web host keeps standard technical logs of requests to the website, such as IP addresses, dates and the pages asked for. We do not run analytics, advertising pixels or tracking tags on the website.
How does FunctionOne use your details?
We use security assessment details to arrange your assessment, contact form details to reply to your message and chat details to answer your questions and follow up with you.
If you request the free guide, we email it to you and may send you occasional articles. You can ask us to stop at any time, and any marketing email we send will tell you how to stop receiving them.
We also use your details to keep a record of our conversations with you, to protect the website from spam and misuse and to meet our legal obligations. We do not sell your personal details, and we do not use them for targeted advertising.
How does the FunctionOne chat use AI?
The chat writes its answers with an AI model from an outside AI provider. To write an answer, we send the provider your recent chat messages and the FunctionOne information the chat answers from. We do not send the provider your name, email address or IP address.
We keep your chat messages with your contact details so our team can read the conversation and follow up. Please do not type passwords, account numbers or other sensitive details into the chat.
Does the FunctionOne website use cookies?
The website does not use advertising or analytics cookies. It saves two small items in your browser's local storage. The item named foChat keeps a random chat session code, the time of your last chat activity and the last message shown, so you can pick up a chat within 14 days. The item named fo-ebook-bar remembers that you closed the free guide bar or signed up, so the bar stays closed.
You can clear these items at any time in your browser settings. The website still works without them, although a chat will start over.
How long does FunctionOne keep your details?
We keep form and chat details for as long as we need them for the reasons in this policy, for example while we talk with you about an assessment or work together, and for a reasonable time after that for our records. When we no longer need them, or when you ask us to delete them, we delete them unless the law requires us to keep them.
How does FunctionOne protect your details?
The website uses an encrypted connection (HTTPS). Only FunctionOne staff with administrator access can see form entries, leads and chats. The chat's spam limits use a scrambled code in place of your IP address.
No website or email system is perfectly secure, so we cannot promise that details will never be exposed. If we learn of a breach that affects your details, we will tell you as the law requires.
What choices and rights do you have?
You can ask us to tell you what personal details we have about you, to correct them, to delete them or to stop sending you emails.
To make a request, call 315-437-6714, write to us through the contact page or send a letter to the address below. We may ask you to confirm a few details so we know the request is yours, and we will reply within 45 days.
Depending on where you live, state law may give you more rights. We will honor those rights where they apply to us.
Is the FunctionOne website meant for children?
No. The website is for businesses and their leaders. We do not knowingly collect personal details from children under 16. If you believe a child has sent us details, contact us and we will delete them.
How will FunctionOne tell you about changes to this policy?
When we change this policy, we will post the new version on this page and update the date in the first section. If a change affects how we use details you already gave us, we will tell you before it takes effect.
